Procedure 1.1: Create a Railway Account and Deploy a Starter App
- Visit https://railway.com?referralCode=fJobV0 and click Start a New Project.
- Sign up with your
GitHub
account (recommended) or email. - Click New Project → Deploy from GitHub repo (or Empty Project if starting fresh).
- Name the project “ai-translation-api”.
- In the project dashboard, click Variables and add:
APP_NAME = ai-translation-apiPORT = 8080
- Click Deployments and verify you see a green “SUCCESS” indicator.
- Click the generated URL (e.g.,
https://ai-translation-api.up.railway.app). - Do you see a Railway default page? If yes, your deployment is working.
Error scenario: If you see a “Build Failed” error, check that your repository has a valid Dockerfile or requirements.txt. Railway auto-detects Python projects.
Procedure 1.2: Set Up a Notion Workspace for Client and Glossary Management
- Open https://www.notion.so and click Sign Up.
- Create a page titled “AI Translation Service — Command Center”.
- Inside, type
/table and create “Client Pipeline” with columns:- Client Name (Title)
- Email (Text)
- Status (Select: Lead, Onboarding, Active, Churned)
- Languages (Multi-select: Spanish, French, German, Japanese, etc.)
- Monthly Revenue (Number)
- Start Date (Date)
- Create a second table called “Translation Glossaries” with columns:
- Client (Relation to Client Pipeline)
- Term (Title)
- Source Language (Select)
- Target Language (Select)
- Approved Translation (Text)
- Do Not Translate (Checkbox)
- Do you see both tables? If not, scroll down — they may be below the fold.
- Visit https://www.calendly.com and click Get Started.
- Create an event called “AI Translation Service — Discovery Call”.

- Open https://www.make.com and click SIGN UP.
- Verify your email and log in.
- Click your avatar → Account Settings → API → Generate a new token.
- Copy the token and save it in your Notion API Keys Vault table.
Procedure 2.2: Create and Store All Required API Keys
OpenAI
: Visit https://platform.openai.com/account/api-keys → Create new secret key → Copy to Notion.- DeepL: Visit https://www.deepl.com/pro-api → Sign up → Copy API key to Notion.
ElevenLabs
: Visit https://elevenlabs.io/ → Profile → API Keys → Copy to Notion.- Add all keys to Railway environment variables: Go to your Railway project → Variables → Add each key.
Error scenario: If OpenAI shows “You need to add a payment method,” add a card with at least $5 credit. The API requires a payment method even for trial usage.
Procedure 2.3: Build the API Health Check Scenario in Make.com
- In Make.com, click + Create a new scenario → name it “API Health Check”.
- Add HTTP → Make a Request:
GET https://api.openai.com/v1/models with Authorization: Bearer YOUR_KEY. - Click Run once. Do you see 200 OK with a list of models? If 401, check your key.
- Repeat for DeepL:
GET https://api-free.deepl.com/v2/usage with Authorization: DeepL-Auth-Key YOUR_KEY. - Repeat for ElevenLabs:
GET https://api.elevenlabs.io/v1/voices with xi-api-key: YOUR_KEY. - All three return 200? Save the scenario.

MODULE 3: FRAMEWORK — Design Your Service Delivery Framework
Overview
This module defines every touchpoint from lead capture to final delivery. Without a documented framework, you will deliver inconsistent results and waste hours reinventing the wheel.

Procedure 3.1: Design the Client Journey Board in Notion
- In your Notion Command Center, type
/board → Board — Full Page. - Name it “Client Journey” with stages: Lead → Qualified → Onboarding → Active → Review → Renewal → Churned.
- Add action cards for each stage:
- Lead: “Received inquiry via Calendly or website”
- Qualified: “Discovery call completed; confirmed ≥ $500/month budget”
- Onboarding: “Glossary created; webhook configured; first test translation delivered”
- Active: “Automated pipeline running; weekly translations delivered”
- Review: “30-day quality review call scheduled”
- Renewal: “Monthly retainer invoice sent”
- Churned: “Exit survey sent; feedback logged”
Procedure 3.2: Create the Master Translation Prompt Template
- Open ChatGPT and paste this system prompt:
You are a professional translator and localization specialist. Your job is to:
1. Translate the provided text from {source_language} to {target_language}
2. Maintain all formatting (markdown, HTML, line breaks)
3. Follow the client's glossary: {glossary_terms}
4. Match the specified formality level: {formality}
5. Adapt cultural references, idioms, and humor for the target audience
6. Preserve brand voice and tone
Rules:
- Do NOT translate brand names marked as "do not translate"
- Preserve all URLs, code snippets, and technical identifiers
- If a term is ambiguous, choose the most natural translation for {content_type} context
- Flag any segments where you are less than 90% confident
Format: Return the translated text with any flagged segments in [FLAG: reason] markers.
- Test with a sample paragraph. Save the prompt template in Notion under “Prompt Templates”.

MODULE 4: FIRST BUILD — Build Your Core Translation Pipeline
Overview
This is the minimum viable product your first client will use. You will build a Make.com scenario that receives content, translates it through the optimal AI model, runs quality checks, and delivers the result.
Time to complete: 3 hours
Tools needed: Make.com, ChatGPT API, DeepL API, Railway
Procedure 4.1: Build the Multi-Model Translation Scenario in Make.com
- Create a new scenario: “Translation Pipeline — Production”.
- Add a Webhook trigger → name it
translate-request. Copy the URL. - Add a Router with two paths:
- Path A (European — ES, FR, DE, IT, PT, NL): → DeepL HTTP module
- Path B (All others — JA, KO, ZH, AR, RU, TH): → ChatGPT HTTP module
- DeepL module: POST to
https://api.deepl.com/v2/translate with text, target_lang, source_lang, formality=prefer_more. - ChatGPT module: POST to
https://api.openai.com/v1/chat/completions with the master prompt template and temperature=0.3. - After both paths, add a Quality Check HTTP module (ChatGPT gpt-4o-mini) that scores accuracy/fluency/cultural on 1-10 scale.
- Add a Filter: Score < 7 → Route to Notion Review Queue. Score ≥ 7 → Route to Delivery.
- Add a Notion module for low-score segments (creates entry in Review Queue database).
- Add a Webhook Response module for high-score segments (returns translation + quality score).
HACK: Use the webhook URL as your client-facing API endpoint. Clients send a POST request with {content, source_lang, target_lang} and receive the translation back in the response. No client-side integration needed beyond a simple HTTP call.
Procedure 4.2: Deploy the Translation API on Railway
- Create
translation_api.py with Flask endpoints: /translate, /health, /languages. - Create
requirements.txt: flask==3.0.0, openai==1.40.0, deepl==1.18.0. - Create
Dockerfile for Python 3.11-slim. - Push to GitHub and connect to Railway.
- Add environment variables in Railway:
OPENAI_API_KEY, DEEPL_API_KEY. - Deploy and test:
curl https://your-app.up.railway.app/health → should return {"status": "healthy"}. - Test translation: POST to
/translate with {"content": "Hello world", "target_lang": "es"}.
- In Make.com, replace the direct API calls in your Translation Pipeline scenario with calls to your Railway API endpoint.
- This gives you a single entry point that handles model routing, quality checks, and error handling.
- Test end-to-end: Send a request to the Make.com webhook → verify it calls Railway → verify translation returns.
