This document is pure execution: every account you create, every prompt you write, every automation you build, and every optimization you apply. Follow it in order. Do not skip steps.
Prerequisites
Before you begin, ensure you have the following:

Step 1: Build Your AI Agent Team with Custom GPTs
Your solo business runs on specialized AI agents, not one general-purpose chatbot. Each agent handles a specific business function. You build them once, and they work for you forever.
Create the Research Agent
Open ChatGPT. Click Explore GPTs in the left sidebar, then click Create in the top-right corner. You are now in the GPT Builder.
Name your agent: Research Agent
Description: “Conducts deep competitive research and market analysis for solo entrepreneurs.”
In the Instructions field, paste this system prompt:
You are a research analyst for a solo entrepreneur. Your job is to conduct thorough, structured research on any topic and present findings in a format that can be immediately acted upon.
For every research request:
1. Identify the top 5-10 most relevant sources (companies, articles, tools, competitors)
2. For each source, extract: name, URL, key offering, pricing (if available), strengths, weaknesses
3. Identify 3-5 gaps or opportunities that the research reveals
4. Provide a 3-sentence executive summary at the top
5. Format all output in markdown tables where possible
Rules:
- Never fabricate URLs or data. If you're uncertain, say so.
- Always include pricing information when available.
- Compare at least 3 options for any tool or service recommendation.
- Flag any claims that seem too good to be true.
Under Knowledge, upload any reference documents you have — industry reports, competitor analyses, or your own past research.
Under Capabilities, enable Web Browsing and Code Interpreter. Disable DALL-E Image Generation (research agents don’t need it).
Under Actions, leave blank for now. You’ll add Make.com webhooks in Step 4.
Click Save. Set visibility to Only Me (you can share later if needed).
Create the Content Agent
Create another GPT. Name it: Content Agent
Description: “Generates platform-specific content calibrated to client brand voices.”
Instructions:
You are a content production agent for a solo entrepreneur's agency. You generate platform-specific content that matches a client's brand voice precisely.
When given a source transcript or topic:
1. Generate content for each specified platform using the exact format below
2. Match the brand voice from the voice profile provided
3. Include a specific CTA in every piece
4. Never use generic AI phrases: "In today's landscape", "It goes without saying", "Delve into", "Unleash", "Revolutionize"
Output formats:
- Twitter/X Thread: Numbered tweets (1/N format), each under 280 characters, opening with a hook, ending with a CTA
- LinkedIn Post: 150-300 words, professional but conversational, one key insight, ends with question
- Instagram Caption: 100-150 words, emoji-light, hashtag group at bottom (10-15 hashtags)
- Email Newsletter Segment: 200-300 words, direct subject line, one clear value proposition, CTA button text
- Blog Post Outline: H2/H3 structure with 2-3 bullet points per section, target word count
If no voice profile is provided, ask for one before generating.

Create the Sales Agent
Create a third GPT. Name it: Sales Agent
Description: “Writes outreach messages, proposals, and follow-ups for client acquisition.”
Instructions:
You are a sales assistant for a solo AI entrepreneur. Your job is to write personalized outreach, proposals, and follow-up communications that convert prospects into clients.
Outreach messages must:
- Reference something specific about the prospect's business (never generic)
- Lead with value, not a pitch
- Be under 100 words
- End with a low-friction ask (not "buy now" — instead "mind if I show you?" or "would a quick example help?")
- Sound human, not corporate
Proposals must include:
- Problem statement (mirroring the prospect's exact words)
- Proposed solution with specific deliverables
- Pricing with three tiers (Anchor: high, Target: mid, Starter: low)
- Timeline with milestones
- "What's next" section with a single clear action step
Follow-up emails must:
- Reference the previous interaction specifically
- Add one new piece of value (a relevant insight, article, or data point)
- Include a soft deadline ("I have capacity for one more client this month")
- Never use guilt or pressure tactics

Create the Operations Agent
Create a fourth GPT. Name it: Operations Agent
Description: “Manages SOPs, client communications, and business operations.”
Instructions:
You are an operations manager for a solo AI entrepreneur. Your job is to draft client communications, update SOPs, and handle administrative tasks.
Client communications:
- Welcome emails: Professional, warm, sets expectations, lists next steps
- Weekly update emails: Brief (under 200 words), highlights deliverables completed, upcoming schedule, any blockers
- Invoice reminders: Polite but firm, reference specific invoice number and amount, give a deadline
- Scope change requests: Document what's being added, propose pricing, get written confirmation
SOP management:
- When given a process description, format it as a numbered step-by-step SOP
- Include decision points: "If X, do Y. If not, do Z."
- Add estimated time for each step
- Include a troubleshooting section for common issues
Rules:
- Always maintain a professional tone
- Never promise timelines without confirming capacity
- Flag any scope creep in client requests
- Suggest automation opportunities when you spot repetitive patterns

Step 1 Check-In
Verify each agent before moving on:
- Open each GPT and send a test prompt
- Research Agent: “Research the top 5 AI content repurposing tools”
- Content Agent: “Write a Twitter thread about the benefits of AI for small business” (it should ask for a voice profile first)
- Sales Agent: “Write an outreach message to a real estate agent who posts on LinkedIn but not on other platforms”
- Operations Agent: “Draft a welcome email for a new client who signed up for the Growth tier at $3,000/month”
Do you get relevant, structured, high-quality output from each? If any agent produces generic or off-target responses, refine its Instructions and re-test. The quality of your agents determines the quality of your business.
Step 2: Build the Client Onboarding Automation
Onboarding is your first impression. It needs to be seamless, professional, and fast. You will build a Make.com scenario that automates 90% of the process.
Set Up the Intake Form
Go to Google Forms. Create a form called “Client Onboarding — [Your Business Name]”. Add these fields:
- Business name (short text, required)
- Your name (short text, required)
- Email address (email, required)
- Industry/niche (dropdown: Real Estate, SaaS, E-commerce, Coaching, Finance, Health, Other)
- Website URL (short text, required)
- Describe your brand voice in 3 words (short text, required)
- What platforms do you currently post on? (checkboxes: LinkedIn, Twitter/X, Instagram, YouTube , Email Newsletter, Blog, TikTok)
- How often do you currently post? (dropdown: Daily, 2-3x/week, Weekly, Bi-weekly, Monthly, Rarely)
- Who are your top 3 competitors? (long text, required)
- Link to your best-performing content piece (short text)
- What does success look like for you in 90 days? (long text, required)
- Any content you absolutely do NOT want posted? (long text)
Click Send and copy the form link. You will use this in your Calendly booking flow.
Configure Calendly
Go to calendly.com and create an event called “Client Kickoff Call” (30 minutes). Under Event Details, add a custom question: “Please fill out this form before our call: [PASTE YOUR GOOGLE FORM LINK]”. This ensures every prospect fills out your intake form before the call.
Set your availability to realistic blocks — 2-3 slots per day, not every hour. You’re running a business, not sitting in meetings.
Build the Make.com Onboarding Scenario
Go to Make.com. Click Create a new scenario. Name it “Client Onboarding.”
Module 1: Google Forms — Watch Responses
Click the “+” button. Search for Google Forms and select Watch Responses. Connect your Google account. Select the onboarding form you just created. This module triggers every time someone submits the form.
Module 2: OpenAI (ChatGPT) — Generate Voice Profile
Add an OpenAI — Create a Chat Completion module. Use gpt-4o. Set the system prompt:
You are a brand voice analyst. Given a client's onboarding information, create a detailed voice profile that will be used to calibrate AI-generated content. Include:
1. Tone (formal/casual/authoritative/friendly)
2. Vocabulary level (technical/mainstream/simple)
3. Sentence structure (short-punchy/medium-varied/long-flowing)
4. Humor level (none/subtle/moderate)
5. Emoji usage (none/minimal/moderate)
6. Three "do" examples (sample sentences in their voice)
7. Three "don't" examples (sample sentences that would NOT fit)
8. Key phrases or terminology specific to their industry

Step 2 Check-In
Test the full scenario by submitting your own Google Form with test data. Check:
- Did the Make.com scenario trigger? (Check the scenario execution log)
- Did ChatGPT generate a voice profile? (Check the OpenAI module output)
- Did Notion create a client page with all fields populated?
- Did you receive the welcome email?
If any step fails, check the module configuration and field mappings. The most common issue is incorrect field mapping between modules — Make.com uses numbered references like {{1.field_name}} that must match the output of the previous module exactly.
Step 3: Build the Content Production Pipeline
This is where you spend most of your working hours. A tight production pipeline is the difference between 6 clients at 35 hours/week and 6 clients at 25 hours/week.
Create the Weekly Production Schedule
In Notion, create a “Production Schedule” board with these columns: Client, Monday (Ingest), Tuesday (Transform), Wednesday (QC), Thursday (Deliver), Status. Each client gets a card. You move cards through the columns as you complete each day’s work.
Build the Make.com Production Scenario
Create a new Make.com scenario called “Content Production Pipeline.”
Module 1: Google Drive — Watch for New Files
Set this to watch a specific folder: “Client Transcripts.” When a client sends you content (or you transcribe it), you save the transcript here. Make.com triggers automatically.
Module 2: Router — Split by Platform
Add a Router module. Create paths for each content type:
- Path A: Twitter Thread
- Path B: LinkedIn Post
- Path C: Instagram Caption
- Path D: Email Newsletter
- Path E: Blog Outline
Module 3: OpenAI — Generate Content (one per path)
For each path, add an OpenAI module that calls your Content Agent’s prompt. The system prompt is the Content Agent instructions. The user message includes:

Module 4: Google Docs — Save Outputs
Add a Google Docs module for each path that creates a document in the client’s folder with the generated content.
Module 5: Slack or Email — Notification

Build the Voice Calibration Process
Before generating any content for a new client, you must calibrate the AI to their voice. Here’s the exact process:
- Collect 10-15 pieces of the client’s existing content (blog posts, social media, emails)
- Open Claude and create a new Project for this client
- Upload all their content as reference documents
- Run this prompt: “Analyze all the uploaded content and create a comprehensive voice profile. Include: tone, vocabulary level, sentence structure, humor level, emoji usage, three ‘do’ examples, three ‘don’t’ examples, and key phrases specific to their brand.”
- Save the output in the client’s Notion page under “Voice Profile”
- Test: Generate one piece of content using the profile. Read it aloud. Does it sound like the client? If not, refine the profile with specific adjustments.
Step 3 Check-In
Run the production pipeline with test content — a blog post or podcast transcript from your own niche. Check:
- Did Make.com trigger when you uploaded the transcript to Google Drive?
- Did all five OpenAI modules generate platform-specific content?
- Did each output save to the correct Google Docs folder?
- Did you receive the QC notification?
If any module fails, check the field mappings and API key configurations. The most common production pipeline failure is an OpenAI rate limit — if you’re generating 5 content pieces simultaneously, you may hit rate limits. Add a Sleep module (2 seconds) between each OpenAI call to space them out.
Step 4: Build the Sales Engine
Your business dies without clients. The sales engine runs in parallel with production and never stops.
Set Up the Outbound System
Create a Google Sheet called “Outreach Pipeline” with these columns: Name, Company, LinkedIn URL, Platform (where they post), Last Post Date, Outreach Date, Response, Status, Next Step, Notes.
Fill the sheet with 50 prospects. Find them on LinkedIn by searching for your target industry + “content creator” or “founder” or “CEO.” Look for people who post regularly on one platform but not others — these are your ideal clients because you can immediately show them value.
Build the Outreach Automation
Create a Make.com scenario called “Daily Outreach.”
Module 1: Schedule — Daily Trigger
Set it to run every weekday at 9:00 AM.
Module 2: Google Sheets — Read Next 5 Prospects
Search your Outreach Pipeline sheet where Status = “New.” Limit to 5 rows (manageable daily volume).
Module 3: Iterator
Loop through each prospect.
Module 4: OpenAI — Generate Personalized Message
Use your Sales Agent’s prompt. Input: the prospect’s name, company, platform, and any details from the Notes column. Output: a personalized outreach message under 100 words.
Module 5: Gmail — Save as Draft
Instead of sending automatically, save the message as a draft in Gmail. You review each draft before sending — this quality gate prevents embarrassing automated messages.
Build the Proof of Value System
When a prospect responds positively, execute the Proof of Value immediately:
- Find their best-performing recent post (check their LinkedIn/Twitter profile)
- Copy the content
- Run it through your Content Agent for 3 other platforms
- Format the outputs in a clean Google Doc with the heading: “Here’s what your content could look like on [Platform 1], [Platform 2], and [Platform 3]”
- Send the Doc within 24 hours of their response
The Proof of Value converts at 30-40%. Speed matters — if you take 3 days, they’ve moved on. Same-day delivery closes deals.
Step 4 Check-In
Test the outreach automation:
- Add 5 test prospects to your Outreach Pipeline sheet
- Run the Make.com scenario manually
- Check your Gmail drafts — do you have 5 personalized outreach messages?
- Review each message. Does it sound human? Is it specific to the prospect? Is it under 100 words?
If the messages sound generic, your OpenAI prompt needs more constraints. Add: “Reference a specific detail about this person’s business. Never use the phrase ‘I noticed’ more than once. Vary the opening line between messages.”
Step 5: Set Up Payment and Pricing Infrastructure
Money in the bank. Without this, nothing else matters.
Configure Stripe
Go to stripe.com and complete your account setup. Verify your identity and link your bank account. This takes 2-3 business days for approval.
Once approved, create three products:
- Starter — $1,500/month recurring
- Growth — $3,000/month recurring
- Premium — $5,000/month recurring
For each product, create a Recurring price with monthly billing. Enable the Customer Portal so clients can manage their own subscriptions (upgrade, downgrade, cancel) without emailing you.
Create the Proposal Template
In Google Docs, create a proposal template with these sections:
- Executive Summary — One paragraph restating the prospect’s problem in their own words
- Proposed Solution — Bullet list of specific deliverables

Save this as a template. Use your Sales Agent to draft proposals by giving it the prospect’s intake form responses and asking it to fill in each section.
Build the Invoice Automation
Create a Make.com scenario called “Monthly Invoicing.”
Module 1: Schedule — Monthly Trigger
Set to run on the 1st of every month.
Module 2: Stripe — List Active Subscriptions
Pull all active subscriptions.
Module 3: Google Sheets — Log Revenue
